What effective estimate follow-up looks like

The most effective follow-up sequences for home service contractors share a few characteristics:

  • Fast first contact. The first follow-up goes out within 24 hours of sending the estimate. Speed signals professionalism and keeps you top-of-mind. Estimates that get a same-day or next-day follow-up close at 3x the rate of those that sit.
  • SMS, not email. Email open rates for sales follow-up are 20–30%. SMS open rates are above 90%, and 78% are read within 3 minutes. For home service follow-up, text wins.
  • Reference the specific job. “Hey, wanted to follow up on the estimate for the AC replacement at your Scottsdale property” converts at 2–3x the rate of “Hi, following up on your estimate.” Use the customer’s name, job address, or job type.
  • Multi-touch, not one-and-done. Send follow-ups at day 1, day 3, day 7, and day 14. The day 7 and day 14 messages often outperform the earlier ones — customers who were busy in the first week are more available in the second.
  • A closing message. At day 14–21, send a message that acknowledges the estimate may no longer be relevant and asks if they want to close it out or keep it on file. This message generates a disproportionate number of responses — people who were going to book but hadn’t gotten around to it feel the urgency.
